Site Inspections

Site Inspections

We complete a detailed/comprehensive estate inspection at least once a month and agree dates with our clients/customers. Detailed reports, including photos, are completed for each visit using the best technology to achieve maximum efficiency. The report is sent immediately from site to the Estates Administrators to enable identified priorities to be completed within agreed timescales. The reports are kept on file indefinitely, so they are always available for future reference.

Detailed photographic reports are produced for each visit using inspection software on a smartphone or tablet.

The report is sent immediately from site with your dedicated Estate Coordinator ensuring all routine actions are complete within 7 days.

Records are kept on file for a clear and organised audit trail.

Out of Hours

Out of Hours

Your development is always working which means we are too! So, we provide an 24/7 365 day out of hours emergency service. This operates after 5.00pm weekdays, through the night, weekends, and national holidays.

If you have an emergency issue, outside of regular hours, you can be confident that it will be dealt with by friendly and experienced & staff.

We ensure your service charge billing and collection is correct, and in line with the lease for your development. We have a fair, robust and highly successful arrears process resulting in zero fees being charged to the service charge account.

Service Charge Budgets

Arrow prepares annual service charge budgets for each development in our portfolio, using accurate data and information. We engage with each client through the process and obtain their approval before it is published.

We are extremely thorough, as you should expect, in managing existing budgets and regularly providing information on any possible future costs.

We develop Reserve Fund plans for each and every client to ensure adequate funds are being built up for major works and cyclical maintenance.

Accounts

On behalf of and with the agreement of each client, we appoint an independent accountant to prepare the annual service charge and company accounts. The accountants work for you, not Arrow, so you can be confident that they are analysing and checking all financial records on your behalf. On completion of the service charge accounts, they are sent to every leaseholder in line with legislation timings.

We only work with independent and qualified accountants who follow relevant best practice set out by the ICAEW.

Health & Safety/Fire Risk Assessments

Health & Safety/Fire Risk Assessments

We work with the best independent consultants to conduct the necessary inspections and reports for our clients. Our managers to carry out regular inspections as part of our estate visits.

Key data from fire and general risk assessments is reported and recorded and relevant action taken and/or preventative measures introduced.

H&S and FRA legislation is constantly evolving, and we stay one step ahead to make sure your development is safe.

Right to Manage

Right to Manage

Arrow have assisted several developments to achieve Right to Manage (RTM) and then provide the management of the development on their behalf.

The RTM is a NO FAULT PROCESS and relatively straightforward if you know what you are doing! The solicitors Arrow work with Property Management Legal Services (PMLS), are very experienced and have successfully helped several leaseholders at their development achieve RTM.

One of the main hurdles that gets in the way of leaseholders achieving the RTM is how to fund it! Arrow have developed a way to make this easier for our clients by working in partnership with the solicitors, PMLS.

Professional Services

Arrow pride ourselves on being experts in our field, Block Management. There’s not a lot we don’t know when it comes to service charge collection, landlord & tenant law and keeping your common areas in the best order.

We do recognise, however, that our clients will require access to other professional services in order to uphold their obligations. JFM have an excellent network of carefully chosen service partners to achieve this. From surveyors and solicitors to brokers and accountancy firms, we only work with high-calibre people.

We’ve opted not to provide these services ‘in-house’ because we want to retain 100% independence in these areas and give our clients the right to choose who they work with. We’ve found this approach to be more effective than the so-called ‘one-stop-shop’ approach since a free-market drives up competition, and thus standards.
